Research & Reproduction Services Costs
Prices are subject to change without notice

All researchers/patrons must pay reproduction costs as per State of Arizona laws. Sharlot Hall Museum cannot give away for free any State property. All reproduction services must be prepaid by cash, check, Visa, MasterCard or Discover.  Due to limited staff and available time, only 30 minutes is allotted to all research requests submitted via email, phone or regular mail. If you want to have more time dedicated to your research request you are welcome to visit our Research Center in-person, pay the $10.00/hour research fee or request a list of local researchers who can be hired to do more extensive searches on your behalf.

Research Services

Email, phone, and regular mail research requests that require SHM staff to research, retrieve and deliver to a patron beyond the allotted 30 minutes will be charged a research service fee in addition to any copy services and shipping and handling costs.

Requests via email/phone/mail: After the initial 30 minutes, will be assessed a $10.00/hour research fee for SHM staff to continue beyond the 30 minutes.  Any patron/researcher who comes in-person to conduct their own research, will be helped and supported by SHM staff and volunteers for free.
 

Copying & Scanning Services

All copies are in black & white and on blue paper.  Patrons will do their own copying unless it is a fragile or an oversize item, and then staff will do the copying.  Photographs/images CANNOT be copied as the light and heat generated by the copier can cause damage to the image prints and photographic emulsions on the print.

Photographic Services - Commercial Use Only

We only provide the following rates for patrons/researchers who will be using SHM materials for commercial purposes.  If you need to purchase items for personal use, please download the necessary items directly from our website.  Images are scanned at 600dpi and provided to patrons as JPEG files.  Sharlot Hall Museum does not provide hardcopies prints of photographs.  Oversize photographs (larger than 11" x 17")  may incur additional scanning fees and are only available on CDs.

Images available for personal use are located on the Sharlot Hall Library & Archives website. Individuals can access each page and place an order online for the following amounts.

Map Reproduction Services

Maps are scanned at various DPIs depending on the map and size.  DPI is listed in the metadata for each map.  Maps are only loaded onto CDs and mailed via U.S. Postal Service First Class.  We do not reproduce copyrighted maps, you will need to contact the map publisher for copies.

Scanned Maps

  • First Map: $15.00
  • Each additional map (must already be scanned): $5.00 per image


Unscanned Maps

  • First square foot - $20.00
  • Each additional square foot - $5.00*

Audio & Oral History Reproduction Services
Includes Lectures, Presentations, Radio Excerpts & Oral History Interviews

  • Oral History Transcripts: $25.00 per transcript
  • CD (wav or mp3): $15.00 per Interview



Educational Use

Anyone who is a current student working on a thesis, dissertation or school paper/project needs only to pay reproduction costs.  The student must currently be enrolled and have a letter on school letterhead from their instructor or college dean.

Shipping & Handling

If we need to ship anything to a patron  we charge a $7.50 shipping charge for each order.  Orders will be shipped via U.S. Postal Service First Class.  An additional fee may apply for large orders.  An account number must be provided by the patron for shipping via UPS or FedEx.  Prices vary for international shipping and the patron will be charged the current international rates.

Rush Orders

For orders that require Sharlot Hall Museum Library & Archives to process within 48 hours, all costs and fees are doubled.  We cannot process any orders in less than 48 hours.  Orders that require map or photographic to be scan are not eligible for rush.  Due to Library & Archives hours, rush orders placed on Saturdays will not be processed until the following Tuesday.

Why do we charge?

 

Please note that we, like any other archives, charge fees.

 

  • Reproduction Costs: these cover only the cost of us providing you with digital images or prints.  They do not provide rights to publish or reproduce.

  • Permission-to-Use Fees: these are based on publication print run, whether material is used on a website, etc.  Please note that permission is exclusive and non-transferable.  Fees must be paid and a use contract must be signed by a Sharlot Hall Museum representative before permission to publish or reproduce is granted.

  • The archives retains copyright to materials held in the archives, so failure to comply with our contracts is a violation of copyright, just like using an artist’s work without permission is a copyright violation.

  • We are a non-profit organization and have discounted fees for non-profits but you must be able to provide copies of your 501(c) 3 paperwork and license as proof of your non-profit status.  We are committed to working with non-profit organizations to make the documentary heritage available to as many people as possible
  • It is standard for archives to charge reproduction costs and permission-to-use fees.  Our prices resemble those of nearby institutions such as Arizona State Library, Archives and Public Records, Northern Arizona University and the Arizona Historical Society.

  • We rely on these fees to help us keep our doors open, to provide access to and preservation of materials, and to pay for staff time and technological infrastructure.  These costs and fees help us to continue to provide reproductions of materials for you!
